Design System Implementation
Context
Versapay recognized the need to design a feature for their web application that would enable customers to put their invoices through an approval process, leading to faster payment. The delay in invoice payments negatively impacted suppliers, who were the paying customers of Versapay. Naturally, it was crucial for the company to address this issue to maintain strong relationships with suppliers.
Work Scope
As the only designer at the company during that time, I was responsible for several tasks. I had to define the requirements for the invoice approval feature, understanding the needs of both customers and suppliers. Additionally, I also needed to determine the user flows that customers would follow to accomplish the approval process successfully. This was followed by producing various design deliverables, including wireframes, prototypes, and final high-fidelity designs, to guide the design and development process.
Goal
The primary goal of this work was to please suppliers by facilitating faster invoice payment from customers. By implementing an efficient and user-friendly invoice approval feature, Versapay aimed to enhance the payment process and provide a feature functionality that would further enable companies to digitize their account receivables departments. The feature would streamline the approval workflow and reduce delays, benefiting both suppliers and the customers themselves.
Metrics for Success
Success in this initiative was measured through metrics primarily focusing on the time taken for customers to pay invoices using the newly designed feature. By tracking the average time to pay an invoice compared to averages before use of the invoice approval feature, Versapay could assess the impact and effectiveness of the feature. Decreased payment time would indicate improved efficiency and supplier satisfaction.
Risks and Mitigation
A significant challenge in implementing the invoice approval feature was accommodating the diverse approval processes and rules of different customers. To mitigate this risk, extensive user testing was conducted, specifically targeting companies with complex approval setups. This approach ensured that the feature could adapt to a range of scenarios and meet the needs of a diverse customer base.

In conclusion, the design of the invoice approval feature aimed to address the challenge of delayed invoice payments, benefiting both customers and suppliers.
